UHAS 4th Congregation Schedule – January 2020
Attention all 2018 / 2019 Sandwich and other eligible graduands of the University of Health and Allied Sciences, Ho as well as the general public: The Second Session of the 4th Congregation for the award of degrees to persons who completed their programmes of study in the 2018 / 2019 academic year will be held as follows:
Date: Saturday, 18 January 2020
Time: 9.00 a.m.
Venue: Cedi Auditorium, UHAS Main Campus, Sokode-Lokoe, Ho.
Dress Code: FORMAL
PAYMENT OF GRADUATION FEE
All graduands, i.e. students who have met all the requirements for graduation and do not owe the University any school fees are expected to pay an amount of GH¢350.00 into UHAS PROJECT ACCOUNT, Number: 5011130017007, GCB-HO Main Branch; and personally present the pay-in-slip to the Finance Directorate, Academic Affairs Directorate and Library for CLEARANCE.
Students with outstanding bills should contact the Finance Directorate promptly to settle them. It is the student’s responsibility to ensure that obligations on his/her account to the University are met to enable records to be cleared for registration. Students with outstanding fees on their Account may be barred from registration and receipt of their UHAS Transcripts/Certificates.
Lists of Graduands to be presented during the 2020 Congregation Ceremony will be available on the University website. Graduands who wish to attend the Congregation are required to register On-Line from before Thursday, January 16, 2020. Graduands should ensure that they have done all payments, cleared themselves at the Finance Office, Academic Affairs Office and the Library before proceeding to register online.
After payment of Congregation Fee, Clearance at Finance Office, Academic Affairs Office, Library and subsequent registration on-line, graduands should pick up their Academic Regalia set comprising a gown, hood and cap (mortarboard); UHAS souvenir and invitation cards at their respective schools upon submitting their receipt(s).
Students who have a credit balance of more than GH¢350.00 would be credited with the amount of the graduation fee to be deducted at source as payment for Congregation. Such category of students are advised to request for their balance by writing to the Registrar for refund. They are to contact the Finance Directorate, Directorate of Academic Affairs and Library for CLEARANCE.
On the other hand, students whose credit balance is less than GH¢300.00 must pay the difference into the UHAS Project Account as indicated above.
Library Clearance Process is required before University transcripts /certificate can be issued. All students are expected to report at the University Library, Main Campus, for clearance before contacting the Academic Affairs Directorate for their transcript / Certificate. Students having University books in their possession cannot be cleared.
PREPARATION FOR JANUARY 2020 CONGREGATION
If you meet all the requirements for graduation and do not owe the University any school fees and you wish to attend Congregation, then read relevant information on this website, including academic dress information, and register on-line for the Congregation.

Registration for Congregation Ceremony
Online registration for the Congregation Ceremony will close on Thursday, 16 January 2020.
Please read the following information carefully.

It is advised that students with missing grades contact their schools to resolve the issue in good time.

Students with outstanding fees on their account will be tagged and may be barred from registration and receipt of their UHAS Transcripts/Certificates.
Step1: Online Registration:
Once logged onto the Congregation Portal, graduands will be able to directly register for Congregation.
Please check the spelling of your name carefully, as this will be used on the call list for the ceremony. If it is incorrect, please notify the Academic Affairs Directorate. Errors in student’s records on the Graduation List should be reported as they will reflect on certificate.
Note: Kindly check with the appropriate School Officer if you qualify for Graduation and cannot find your name.
To register, you need to simply input your correct index number
Submit your registration online. If possible, print out a copy of the registration confirmation for your records. Ensure that you pay all fees before registering on-line to avoid any difficulties.
DEADLINE FOR REGISTRATION: Thursday, 16 January 2020
Step 2: Payment for Registration:
Students who have met all the requirements for graduation and do not owe the University any school fees need to pay a non-refundable fee of GH¢300.00 before 12:00 midday on Thursday, July 11, 2019. Upon paying the Congregation Fee, graduands should ensure that they have registered online. Please take note that Graduands who do not register for the Congregation Ceremony will pay the same fee for issuance of their certificates / transcript.
Please note again that registration will be closed after the DEADLINE FOR REGISTRATION.
Step 3: Collection and Return of Academic Gowns:
After payment and subsequent on-line registration, graduands should proceed to their respective schools to receive an academic gown, UHAS souvenirs and invitation cards. To be allowed to collect your gown, you will need to show your UHAS Student ID card. Also ensure that you have with you your receipts.
The gown set comprises a gown, hood and cap. These must be carefully examined before receipt as on return they will either not be accepted in a damaged condition, or if accepted, a penalty fee will be charged. It is recommended that gowns should be collected by the graduand only, as it is necessary to fit the gown to ensure that you have the correct size.
GRADUANDS SHOULD NOT LAUNDER GOWNS/HOODS AS THEY ARE CLEANED PRIOR TO DISTRIBUTION.

Gown sets should be returned to the same collection point soon after the Congregation ceremony. Non-return of gowns will accumulate a weekly penalty after close of the deadline. Payment of penalty accrued will be required before Academic Certificate / Transcript is released to the graduand.

All Graduands will be required to attend rehearsals at the Cedi Auditorium, Main Campus, Sokode-Lokoe, Ho on Friday, 17 January 2020 at 2.00 p.m. Graduands may collect their academic gowns from their respective schools immediately after the rehearsals. Only registered graduands who attend the rehearsals will be presented.
Graduands are expected to make their own arrangements for accommodation.

Certificates will be available for collection after the session. Graduands will be expected to show their ID cards and Clearance Chits for inspection at the Directorate of Academic Affairs before they will be issued their certificates.
