Job Description
Job Title: LCS Transport And Facilities Supervisor
Reports to : Operations and Facilities Manager
Position Summary /Job Goal
The Transport and Facilities Supervisor is responsible for the coordination and operation of the school’s entire transportation service ensuring an efficient, safe and reliable, personalized service is provided by the school to its customers (parents and children and staff).
The Transport and Facilities Supervisor also serves as a facilities assistant, directly responsible for scheduling all internal facilities jobs as well as ensuring the maintenance and proper utilization of school vehicles and equipment.
Supervised, evaluated by and reports to: Operations and Facilities Manager
Performance Responsibilities Student Bus Service
Responsible for developing the efficient and economic routing of all student bus service vehicles
Assist in the preparation of the annual budget to include all aspects of the bus program
Processes applications for new students for the service and providing a quote to parents, detailed written information regarding all aspects of the service and date service will begin
Ensures that parents receive timely and relevant communication relating to the pickup and drop off their children, real time information in regard to any delays in service and timely communication regarding any program or service changes in advance of their being implemented
Responds to complaints and general enquiries from parents in a timely manner, ensuring that all complaints are properly investigated, appropriate
actions are taken and outcomes are appropriately communicated
Ensure that all information required by the finance office for invoices and amendments to service provision are accurate and sent to the finance office in a timely manner
Monitor the arrival and departure of the Student buses to ensure an efficient running of the service
Develops and manages an operational timetable for drivers and monitors working on student Bus Service and all school transport
Assist in the investigation of any accident involving a student Bus and all school transport
Performance Responsibilities Internal School Transport & Facilities Coordination
Responsible for scheduling transportation for various departments as and when required
Responsible for initiating communication with various school departments especially faculty to establish transportation requirements per semester.
Responsible for the proper planning for the use of school transport vehicles to ensure maximum and efficient utilization.
Develop and coordinate the scheduled and unscheduled maintenance of the School’s fleet to ensure vehicle cleanliness, safety and road worthiness at
all times.
Coordinate the fueling and monitor the fuel consumption of company fleet, escalate any matters arising.
Coordinate and maintain good records on the vehicle insurance, license acquisition and timely renewal of all relevant insurance policies and licenses.
Coordinate and plan of all transport logistics for all school related events and liaise with subcontracted transport (where necessary) to ensure delivery of service as per agreed terms to ensure value for money and good service quality.
Ensure proper records for the school’s transport management in relation to costs, repairs, drivers’ shifts and leaves, insurance and licenses.
Daily tasks include supervising employee performance, allocating driver assignments, ensuring compliance with safety standards and maintaining all vehicles in top working order.
Keep track of and provide feedback on all transport and facilities (maintenance and set-up) requests and assign to various team members.
Keep track of and provide feedback on all transport and facilities submissions (LPOs, Payment Requests, Imprest Requests and Retirements,
Material/Purchase Requisitions, etc.) to the Finance Department
Issue out and keep track of consumables as batteries, paper cups, air fresheners, mosquito sprays, boxes, keys, etc)
Performance Responsibilities -Generic Duties
Responsible for ensuring that all equipment ie electronic tracking devices, radio, telephones etc are in good working order at all times
Responsible for organizing and assisting in delivering appropriate training and development for Bus Monitor’s and Drivers
Responsible for assisting with the creation, development and maintenance of accurate business systems and update records in a timely manner ensuring accuracy and accessibility
Supervises all student transport service staff to ensure that all staff members operate within the stated guidelines for the service
Responsible for developing a customer service standard and maintaining a positive public image of the school and the program based on services
provided
Assists in the development and updating of all written manuals, training manuals and program expectations/guidelines relating to the student transport service and the communication of these guidelines to the appropriate employees
Ensures that proper procedures are in place for the efficient and safe running of the Student Bus Service program and that these procedures are updated as required and communicated appropriately to the right people
Required Skills or Experience
Qualifications:
Degree in any field
Logistics Training and or Qualification (preferable)
Experience, Skills and Abilities:
A minimum of 3 years’ experience working in an operational role undertaking similar responsibilities
A minimum of two years’ experience in supervising staff
Experience of working in a school environment or children an advantage.
Experience of working in a multicultural environment
Demonstrable experience of computer literacy using packages such as Google Docs and Microsoft office suite
Understanding and knowledge of fleet management responsibilities
Excellent customer service skills demonstrated by experience of working with customers of varied backgrounds
Ability to record information accurately
Ability to work on own initiative
Ability to work in a team
Ability to work effectively under pressure and coordinate multiple tasks
